The Integrated Weapons Experiments (J) Division is looking for an administrative assistant to support the J Division Nevada Operations (J-NV) Group. This position is fulltime, located at the Nevada National Security Site (NNSS), and requires living in the Las Vegas, Nevada area. J-NV is the NNSS on-site organization responsible for preparing, fielding, and executing dynamic high explosive-related experiments, including sub-critical dynamic experiments involving special nuclear material for the Los Alamos National Laboratory’s (LANL’s) Weapons Program and other national security customers. The NNSS, formerly Nevada Test Site, is a 1,335 square mile Department of Energy outdoor and underground laboratory located 65 miles north of Las Vegas, NV. J-NV is responsible for much of the planning, management, and infrastructure associated with LANL’s explosives work at NNSS. J-NV also coordinates work with other organizations at NNSS and with travelers from Los Alamos and elsewhere who participate in J-NV’s experiments. The ideal candidate will report to the Staff Operations Manager (SOM) and will lead administrative support functions for J-NV. He or she will receive functional and operational direction from the SOM and J-NV group leader. Key areas of responsibility will include serving as a primary point of contact for the J-NV; processing numerous procurement requests as the group’s Professional Buyer; assisting the group leader to manage staff, space, and tours. The selected candidate will need to be a self-starter, show initiative to develop expert knowledge in LANL and J Division processes and procedures, including learning and documenting MSTS processes and completing all assignments while showing a high degree of initiative and teamwork with the J Division SOM and administrative staff. This person will require minimal supervision and must be results-oriented. | | | | | | What You Need Minimum Job Requirements: This position will be located at the Nevada National Security Site and requires living in the Mercury, Nevada area. Administrative Support Advanced knowledge of and experience in providing administrative services and activities, including general office management and specialized functions, such as procurement, travel, meeting, and tour scheduling/logistics, onboarding new employees, and serving as a resource to staff as it relates to the established administrative policies and procedures. Business Systems Advanced knowledge of and experience with office-interfacing software packages such as Microsoft Office, including the demonstrated ability to independently interpret data and information to produce Word documents, Excel spreadsheets, and PowerPoint presentations. Knowledge of LANL’s business systems: Ariba (procurement), Oracle (time and labor). Communication Demonstrated ability to network effectively with other administrators and key contacts within LANL, including contacts external to the organization. Excellent oral and written skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail. Excellent customer service skills. Personal Leadership Demonstrated ability to calmly manage frequent interruptions and changing priorities; complete assignments without established procedures; be available, dependable, and punctual. Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines. Training/Certifications: At this level, additional training, certification, and/or education may be desirable. Education/Experience: Position requires a High School Diploma and 3 years related experience; or, an equivalent combination of education and experience directly related to the occupation. Desired Qualifications: AA or BA with work experience is preferred. Knowledge of Laboratory structure and administrative processes/tools such as LANL procurement, LANL domestic and foreign travel; LANL vault custodian duties; and/or Classified Matter Primary Custodian (CMPC) training.
